Decide what the notes need to capture
Before the meeting, identify the decisions and questions the group needs to resolve. Use a simple structure: context, decisions, actions and open questions. Leave space for supporting timestamps.
Choose and test your meeting recording method. Explain the recording to participants and follow the meeting’s recording rules.
Make commitments explicit
When a task is proposed, ask who owns it and whether a date was agreed. Confirm a decision aloud rather than leaving it implied. This improves the source material the notes will rely on.
Keep your own brief note of an important off-record correction or a decision made outside the captured conversation. Label its source instead of attributing it to the recording.
Generate a draft
Open the processed recording in Ask AI and request:
Create meeting notes with context, decisions, actions and open questions. For each action, include an owner and deadline only if stated. Mark missing details as unconfirmed. Add source timestamps where available.
Review the transcript around each commitment. A suggestion, an estimate and an approved decision should not appear under the same heading.
Check the draft
- Confirm speaker names against the recording.
- Check figures, dates and quoted wording.
- Separate agreed actions from ideas still being discussed.
- Ask the responsible people to confirm disputed or missing details.
- Save the reviewed notes with a clear meeting title and date.
For repeated meetings, reuse the document structure, not unverified content from the previous meeting.
Share and follow up
Use document sharing or export the notes for your team. Check access to the source recording separately. Keep a correction visible to recipients if you revise a decision after sharing.
Copy confirmed tasks into your team’s task system and track completion there. A generated action list does not mean tasks were assigned or synchronized to another product.
