Meeting Bot for Zoom, Meet, and Teams Speaker Identification AI Notes and Chat

Transcribe a Meeting, Connected or Uploaded

Meeting transcription turns a Zoom, Google Meet, or Microsoft Teams call into a written transcript with each speaker labeled. Connect the meeting bot so it joins your call automatically, or upload a recording you already have, and read the transcript instead of scrolling back through a video.

13,238 meetings were transcribed on ScreenApp in the last 90 days. A written record also means anyone who missed the call, or who wants to search for a topic instead of re-watching, has something to work from.

What you get:

How to Transcribe a Meeting

  1. Connect the bot, or your calendar: Add the meeting bot for Zoom, Google Meet and Microsoft Teams to your call, or connect Google Calendar and Microsoft Calendar so it joins every scheduled meeting on its own. It joins as a visible participant, the same way any other meeting bot does.
  2. Or upload a recording you already have: If the meeting ran on a platform the bot doesn’t join, such as Webex, or you already recorded it another way, upload the audio or video file (MP4, WebM, MOV, AVI, MKV, WMV, and FLV) and it transcribes the same way. The Chrome extension for meetings is another way to capture a call without a bot joining at all.
  3. Read, search, and export: The transcript, with speaker labels, is ready a few minutes after the call ends. Search it, ask AI chat with any recording a question, or export as PDF, DOCX, TXT, SRT and VTT.

Accuracy depends on the audio each participant sends, so a call with several people talking over each other or on a poor connection has more gaps than a clear one-on-one call. See how we measure accuracy.

  • vs Otter.ai: Otter’s free plan is capped at 300 minutes a month, and its bot joins Zoom, Microsoft Teams, and Google Meet. ScreenApp’s free plan is one recording of up to 45 minutes with AI chat included.
  • vs Krisp: Krisp doesn’t put a bot in the call (No bot; works in the background on your device) and has no ongoing free plan, only a 7-day trial before its $8-a-month plan starts. ScreenApp’s free recording doesn’t expire after a trial period.
  • vs Read.ai: Read.ai’s free plan is capped at 5 meeting transcripts a month, then Pro is $15 a month billed annually. ScreenApp’s free plan is one recording of up to 45 minutes.

Who Uses Meeting Transcription

Remote teams keep a written record of calls across time zones, so a teammate who couldn’t join reads the transcript instead of asking for a recap.

Project managers use the transcript and action items to confirm what was decided and who owns the next step, without re-listening to the recording.

Sales teams transcribe client calls so a rep can focus on the conversation instead of typing notes, then pull quotes into the CRM afterward.

HR teams transcribe interviews and training sessions, with speaker labels separating who said what.

Legal and compliance teams keep a written transcript alongside the recording as part of the meeting record, though a transcript from an AI model is not the same as a certified legal transcript.

FAQ

How do I transcribe a meeting for free?

Connect the meeting bot for Zoom, Google Meet and Microsoft Teams before the call, or upload a recording afterward. The free plan covers one recording of up to 45 minutes, with AI chat on it, and no registration is required to try it.

Does the bot join Zoom, Google Meet, and Microsoft Teams automatically?

Yes. Connect Google Calendar and Microsoft Calendar and the meeting bot for Zoom, Google Meet and Microsoft Teams joins every scheduled call on those three platforms at its start time, without you opening the meeting yourself.

Can I transcribe a meeting on Webex or another platform the bot doesn’t join?

Yes. The bot only joins Zoom, Google Meet, and Microsoft Teams. For any other platform, use the Chrome extension that records tab, screen, mic and camera to record your own screen and tab audio, or upload a recording you made another way, and it transcribes the same way.

Can I watch the transcript appear while the meeting is happening?

There’s a beta live transcribe tool that shows a rough, running caption on your screen as you record on a Windows or Mac computer. The meeting bot itself produces the finished transcript a few minutes after the call ends, not a live view.

Can ChatGPT transcribe my meeting?

No. ChatGPT reads text and images, not live audio, and it can’t join a video call. Something has to record the call and convert the speech to text before a transcript exists for ChatGPT to work with.

Does it identify who is speaking?

Yes, speaker identification separates each participant automatically. You can rename a label afterward: click a speaker label to rename it, match it to a team member, or reassign a single segment.

What formats can I export the transcript to?

Export as PDF, DOCX, TXT, SRT and VTT. Choose the format that fits how the rest of the team will read it.

Rules on recording conversations vary by location and by whether everyone on the call needs to consent. Check the law that applies to you and your participants, and tell people on the call that it’s being recorded and transcribed.

Are my meeting recordings private?

Recordings are encrypted in transit and stored with AES-256, on SOC 2 Type 2 infrastructure, and are not used to train AI models. Security controls are published on the trust center.
